Position Summary
The Office Support Worker serves as a member of the team(s) and provides completion or oversees completion of clerical and administrative support needs.
Essential Functions
- Complete contract and third party billing in an accurate and timely manner.
- Complete all aspects of persons served record maintenance including generation, maintenance, purging/closing of files when indicated.
- Assist in monitoring timelines for reports, both administrative and clinical.
- Appointment scheduling and confirmation of appointments, if applicable.
- Maintain persons served database and any relevant data.
- Responsible for preparing, maintaining, and monitoring program Accounts Payables (i.e. vouchering, expense reports, petty cash recording and distribution), following established procedures.
- Maintain office files, including purging/closing files when applicable.
- Assist with maintenance of office machines and program supplies.
- Handle incoming and outgoing mail and faxes.
- Attend meetings, supervisions, and trainings as needed.
- Responsible for ensuring that all phone calls are answered in a timely manner, coordinating/providing coverage as needed, coordinating on-call staff list, and ensuring the answering service is aware of schedules.
- Maintain records for program(s) budgets.
- Perform duties as needed at the reception desk/front office.
- Train and orient new staff to computer operations and office procedures (including paperwork, timelines/deadlines, record maintenance, etc.)
- Support program/team in generating meeting minutes and dispersing to the staff.
- Process persons served record needs, i.e. reviews and requests, daily insurance eligibility, TOPS submission, authorizations, etc. as indicated.
- Perform all other functions and duties as directed by the Senior Office Support and Supervisor/Program/Site Director, and Director of Behavioral Health Operations.
Requirements
- High school diploma or equivalent.
- Minimum of one (1) year experience performing administrative duties such as typing, filing and bookkeeping.
- Family Continuity considers lived experience (personal or familial) with the mental health system a valuable asset.
- Valid driver’s license and personal vehicle is required.
